
Operation Executive (Admin)
Job Description
Responsibilities include overseeing various administrative, financial and procurement tasks, for e.g.
facilitating NGO on-boarding process within internal systems, managing bill reimbursement via our online system/ NAV, streamlining field team reimbursement processes, overseeing vendor management, and coordinating with our procurement team. Will play a vital role in ensuring the smooth day-to-day operations of the Shiksha Initiative.
Role and responsibilities
1. Oversee day-to-day office operations, including managing office supplies, equipment, and facilities.
2. Assist in the planning, coordination, and execution of local level events, workshops, and community engagement activities
3. Coordinate logistics such as venue booking, catering, transportation, and audio-visual equipment setup.
4. Provide on-site support during events to ensure smooth execution.
5. Manage travel arrangements, including booking flights, hotels, and transportation, adhering to travel policies and budgets.
6. Coordination with admin, finance, procurement and DDP operations team for proper execution of the program.
7. Liaise and manage with vendors, suppliers, and service providers to obtain quotes, negotiate contracts ensuring cost effectiveness.
8. Conduct periodic reviews of vendor performance and quality of services.
9. Perform accounting tasks like budget tracking, Process invoices, purchase orders, and payments (both manual and online/NAV) in accordance with organizational policies and procedure.
10. Maintain accurate and up-to-date records, databases, and filing systems related to program activities, finances, and stakeholders.
11. Oversee expense details for the project activities, ensuring accuracy and timely submission.
12. Review and validate invoices from NGOs/IPs to ensure they align with project milestones before processing them for payment.
13. Leading NGO/ vendor registration on relevant office software.
14. Serve as a primary point of contact for internal and external stakeholders, including program participants, partners, and community members.
15. Cultivate positive relationships with stakeholders through effective communication and customer service.
Qualifications and Education Requirements
1. Bachelor’s degree (Business Administration, Management, or related field preferred)
2. Proven experience in administrative roles, preferably within a CSR or non-profit environment.
3. Ability to work independently with minimal supervision and as part of a team
4. Commitment to the organization’s mission and values, with a passion for social responsibility and community development.
5. Proven track record of managing projects, and priorities with a focus on efficiency and detail.
6. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
7. Knowing finance management tools will be added advantage
Prerequisite skills
1. Proficiency in MS Office (Word, Excel, PowerPoint)
2. Strong organizational skills with the ability to prioritize tasks and manage time effectively.
3. Have sound knowledge on documentation.
4. Excellent communication skills, both written and verbal, with fluency in Hindi & English
5. Strong comprehension of financial operations within a non-profit setting.
